JANITOR'S GUIDE or "It pays to delegate! or "O, wonder! / How many goodly crea-tures are there here! / How beauteous mankind is! O brave new world/ That has such people in't!" (The Tempest)

The janitor is responsible mostly for janitorial things. Such include: material arrangements before, during, and after AWE he is in charge of the physical plant and materials, and after an AWE some responsibility for clean up. The janitor may need one or two assistants (it pays to delegate!) especially before AWE and for final mopping up.

For the janitor's edification and enrichment there are included here: 1) a check-list of necessary items that must be attended to before the weekend ("On my bed I remember your name / On you I think all night"-Ps.62:6) and 2) a schedule of things to do so that he too might have something about which to be confused ("All day long my confusion is before me"-Ps. 44:15). He can write in other things too so as not to forget them.

The janitor is introduced on Friday night and should be present during talks and breaks as much as possible so he is available to assist the leader and those making the weekend.

In general, the Janitor should remember:

Don't forget anything. Have all the materials needed for thr weekend ready beforehand. Figure out room arrangements for the different parts of the weekend beforehand. This means visiting the site with the Leader before AWE. Have a car available for errands during the weekend. Have candy, aspirin,etc. available all during the weekend. Have coffee prepared during the weekend. It is best if there can be pitchers for each table so it will not necessary for people to leave the tables during discussions. Watch to see that all noise is kept out during talks to avoid distractions. ("...who dost still the roaring of the seas, the roaring of their waves, the tumult of the peoples..."-Ps. 65:7) Always have things ready ahead of time so the schedule is not delayed. Arrange a liason with the outside world who can be easily reached in case of emergencies or things forgotten. Also let someone know the phone number (if any) at the site in case those at the weekend must be reached. Be sure the cooks know the meal schedule and have planned menus and purchased food. The Janitor may have to help in preparing meals. Delegate! Don't try to do everything alone. Delegate jobs to others, Get others, to help in procuring things before the weekend. Get an assistant for during the weekend. Get others to come in and help with clean up after the weekend. "Cleanliness is next to godliness."-Prov. 32:6 The Janitor should have a schedule but should not show it to the students nor tell them what's coming next. Questions about the schedule he can answer in a general way: "Another talk,"etc.

For the Physical Plant: Normally the weekend requires one large room for talks, one for sleeping, and a place to eat (can use the same room as for talks, just clear tables. Also needed are a chapel and a kitchen.

Mattresses (enough), if beds are not available. Recreation area Volleyball, net, stands Table and chairs About 4 tables for eating (any shape) Enough tables for discussions. These should be round or square. No more than 8 or 9 per table Chairs enough in study room and dining room, one per person in the chapel. Lectern Blackboard Kitchen Dishes, silverware cooking utensils Towels Sink and equipment to wash dishes (In some cases cooking maybe done outside the weekend, even so some arrangement necessary for washing dishes and cleaning up.) Coffee maker Coffee, cream, sugar Cups Pitchers

For the Chapel: If a regular chapel is not being used some permissions may be required to provide a temporary chapel, (see priest.) Vigil light and candles Altar (with altar stone) Tabernacle Lectern Song sheets Propers (On Saturday: Votive Mass of Christ the High Priest; on Sunday: Mass of the day) Mass Kit (Priest should be reminded to bring Mass Kit if regular chapel is not available for weekend.) Chairs (one and only one for each person to be in the chapel)

Materials needed

Song sheets (general and spiritual) Bibles and rosaries (to be left around) Name tag equipment Notebooks and pencils Chalk and eraser Masking tape Donations envelopes Compline sheets Group cards (if used) Christian Growth Cards Bell Beer (check on getting and keeping beer) First aid kit Candy, cigarettes, aspirin, laxatives, matches, etc. Car (available for trips, for groceries or emergencies) Phone or some contact with someone outside the weekend who can serve as liason with the team on the weekend if they must be contacted during the weekend. Apostolic materials Bibles (modern translation) Council Decrees Brochures on apostolic organizations summer apostolic activities post college work careers Books or pamphlets Suggested spiritual reading Alarm clocks(2)

Arranging the rooms

Before the weekend the Janitor and Leader should decide how to arrange the rooms at the site of the weekend. Rooms must be arranged for:

Study Room-blackboard and lectern at front, 4 or 5 tables grouped about the lectern with about 8 chairs at each table.) Dining Room Sleeping quarters (mattresses can be put on floors of other rooms at night.) Party-tables can be moved to side of Study Room Prayer meeting-can be held in the sleeping area with people sitting about on mattresses; check to see how light can be dimmed. Chapel

Friday

1. Be sure bedding and all needed materials are picked up.

2. Arrange for someone to transport weekenders to 3 day Valhalla.

3. Check plant: heating system, toilets, stove, refregerator. If anything is out of order, then do this; or do that. At any rate do something. (Crying is the last resort.)

4. Check to be sure cooks have all they need in kitchen. If something is missing someone has to get it. Guess who?

5. Before they arrive:

Name tag equipment Notebooks and pencils Room arranged lectern in front (tables not necessary) Song sheets Coffee (sanka) and/or hot chocolate and donuts Chapel set up (team mass) Mattresses Place arranged for priest to hear confessions

(It is nnot necessary that the facilities be completely arranged before the students arrive. Setting up the chairs, arranging the mattresses, etc. are all things they can do. The chapel should be set up though.*)

6. Set two (2) (II) alarm clocks

*Some of the directions may need to be modified in accord with place and facilities. It is a great advantage to have as much taken care of as possible before the students arrive. aturday

1. Set the conference room.

2. Coffee and cups should be ready for during talks and discus-sions. It helps keep people awake; best if pitchers ca be placed at each table.

3. Candy, etc. out; matches, cigarettes (will have to send some-one out with orders for cigarettes at various times. Check with leader when to get their orders.)

4. Make sure recreation area is set up. (see schedule)

5. Sit and think all is going well. Realize error and...

6. Get the address list ready.

7. Put out the books and apostolic materials.

8. Supervise dishwashing at appropriate times.

9. All set for the party? Beer cold?

10.Stations cards ready in chapel for Stations and Meditation.

11.For party: move tables, etc. lights not too bright; only about 2 beers per person. Bring second round out much later than the first (not all at once.)

12.Set two (duo) (zwei) (2!) alarm clocks.

Sunday

1. Much the same as yesterday.

2. Arrange room for Mass if any special preparation is needed, e.g. a banquet Mass.

3. Make sure room is ready for prayer meeting mattresses arranged lights dimmed (done unobtrusively previous to Prayer Meeting) doors and curtains closed where necessary

4. Some should normally be outside to insure that no one acci-dentally disturbs the prayer meeting, e.g. you. Should not move furniture or rearrange rooms during prayer meeting. Study room should be left as before the prayer meeting so it is unchanged when they return.

5. Clean up where appropriate.

POST-AWE

Rooms returned to previous order,swepr, cleaned Kitchen cleaned Garbage emptied, sinks and counters washed, dishes washed and stores, empty bottles collected (sometimes best to take beer bottles with you and dispose of them elsewhere) Chapel returned to normal Recreation equipment recovered Materials (song sheets, etc.) collected Heating system operating as before weekend Extra beer drunk (sometimes it doesn't pay to delegate)
